The role:

We are looking for a highly organised and efficient Receptionist / Administration Officer to join our team in Bexley on a Full Time contract. You will be required to work business hours, Monday - Friday.

Note: the successful candidate must be willing to have a yearly Influenza vaccination, plus the COVID-19 vaccinations. It is a legal requirement for all aged care staff to be have both doses COVID vaccine or a medical exemption by 17 September 2021.

The Administration Officer based in reception is central to the seamless operation of our vibrant Village community and will be responsible for:

  • Daily timesheets and payroll management
  • Roster coordination 
  • Submitting pays (once a fortnight)
  • Compile and review payroll reports before submitting pays
  • Replacing daily sick calls and leave without the use of over-time or agency (requires strong communication
  • Assisting in preparing and running Orientation Days
  • Managing staff onboarding and off-boarding (creating employee files, IT set up, building access, log-books)
  • Coordinating all staff training sessions and maintaining skills databases
  • Ensuring staff VISA and police checks are up to date
  • Being the first point of contact for residents, families, staff, volunteers and visitors
  • Receptionist services – incoming/redirecting calls and passing on accurate messages as required
  • Greet and welcome all visitors and assist with visitor sign in process
  • Management of petty cash and resident billing including reconciliations
  • Prepare documents and correspondence, filing and archiving
  • Creating and maintaining various complex reports for Senior Management and external parties
  • Creating resident new admission documents and processing resident discharges
  • General office and administrative duties as required
  • Assisting the Administration Manager, Village Manager and Care Manager as required
  • Systems - Page-Up, Emplive, CVCheck, SLS, iCare and more.

The experience:

To be successful in this role you will possess the following skills and experience:

  • Roster coordination to avoid over-time and agency
  • Previous experience in administration or reception in a busy office environment (preferred but not essential – extensive training will be provided)
  • Caring and compassionate approach when dealing with residents, family members and resident representatives
  • Professional manner in dealing with all telephone calls and reception duties. 
  • Excellent verbal and written communication, interpersonal and customer relations skills.
  • Can work in a team and willing to help others
  • Strong organisational and time management skills
  • Good organisation and time management skills and ability to work in a fast paced environment
  • Proven skills in using Microsoft packages (Word, Excel, Outlook etc) 
  • Good attention to detail and the ability to prioritise your workload effectively
